Who will be covering the cost of a new or enhanced club website?
District 7030 has secured a special rate of US $300 per club for the website re-fresh and rebrand initiative. Each club is responsible for paying the initial 50% of the costs (i.e. US $150) before its application is approved and work on its website will begin. Please complete payment to District 7030 before filling out the application form. You will receive a payment confirmation number which must be included on the application form submission. Provided that certain conditions and criteria (see below) are met by the participating club, District 7030 will then cover the balance of US $150. Failure by a participating club to meet any of the required conditions/criteria may incur a payment of the balance of US $150 by the club itself.
 
Who is doing the club website refresh initiative work?
This work is being supported by Ex Nihilo Website Designs - a professional web developer and designer company - and coordinated by Melissa Wells, who is a member of the Canadian Welland Rotary Club
 
Do clubs have any say in the design?
Yes! After a club has filled out and submitted the application form, the designated contact person will be contacted by Melissa Wells of Ex Nihilo Website Designs to schedule a Zoom kick-off call which will help identify what platform a club would want to use (e.g. ClubRunner, WordPress, etc.), what content a club would like to include on its website, what information a club would need to provide to website developer and what aesthetics the clubs prefers (e.g. color schemes, fonts, etc.). Please note that there are a number of templates a club may to choose including the following examples:
 
What order will clubs be chosen to have this work done? 
Work on a club website will be done based on a queue system of first come first served. Once the website refresh application form is submitted to the web developer, it is date stamped and contact is made in such order. The actual refresh process then officially begins once the kick-off meeting takes place.
 
How long will it take?
The average time from start to finish for a website refresh is about seven (7) business days. Depending on where your club lies in the queue, work will begin with your design consultation kick-off call. In order to complete a club's website refresh in the shortest possible time, prompt feedback to any outstanding questions from or information needed by the website developer is required. Neither the website developer nor District 7030 can guarantee an expedient process if there are delays due to club shortcomings.
 
What happens once the website is complete?
Upon completion of a club's website, the website developer and/or the District Communications Team shall remain available to troubleshoot and correct any unforeseen or unexpected errors at no additional cost. However, once the refresh process is completed, the overall management, maintenance and update of a club's website falls solely as the responsibility of the respective club.
 
What are the conditions/criteria for district support?
Each participating club would be required to meet the following conditions/criteria within fourteen (14) days of the completion of the website refresh and training session:
  1. All Rotary logos are current and correctly used on your club website and social media accounts (where all clubs must have at least one active and up-to-date social media account)
  2. All current and incoming club officers and primary chairs are updated and identified on My Rotary and ClubRunner (via club or district version where applicable)
  3. All current club members and their respective contact information are up-to-date on My Rotary and ClubRunner (via club or district version where applicable)
  4. Addition of 3 upcoming club meetings or events on your club website
  5. Addition of 3 club stories on your club website
  6. Promotion of your new/refreshed club website on social media
  7. Promotion of your new club website via club email(s) and/or club newsletter
Failure to meet any of the above criteria may default District 7030's contribution to a club's website refresh initiative and the respective club may be charged an additional US $150 to cover the full cost of the initiative.
 
Additional Costs?
The club website refresh fee covers only the work performed by the website developer. A club is responsible for any and all other costs associated with the hosting of its website and/or associated content management system, as well as, any connected member management system or additional features added to and included on its website.
 
Special Rewards?
As part of District 7030's Public Image Awards & Recognition for 2022-2023, selected clubs may receive 50% to 100%  of their club website refresh payment back if certain conditions are met by the end of the Rotary year. Such conditions include: completing website training session, updating executive and member and club information, posting new events and news stories each month, generating traffic to a club website, etc. For more information on these special rewards, contact admin@rotarydistrict7030.org
